A China business licence is the starting evidence—not the final payment decision.

A licence can establish the claimed legal identity and provide the identifier needed for registry research. It cannot, on its own, prove that every sales document, email address or beneficiary belongs to that company.

SHORT ANSWER

Extract the Chinese legal name and USCC, confirm them against a current registry record, then compare the result with the PI, contract and payment instruction.

Fields to capture from the licence

Record the legal name exactly as printed in Chinese. Do not translate it and then use the translation as the primary search term. Capture the complete USCC without added spaces and retain a legible copy of the source page.

Other useful fields include the legal representative, company type, establishment date, registered address, business term and business scope. Layouts and wording can vary, so missing or obscured fields should be marked unresolved.

Automatic checks that are genuinely useful

Software can assess file readability, extract the printed name and identifier, validate the USCC structure and compare normalized names across documents. It can also flag different codes or legal names for operator review.

Automation should retain the page reference, evidence fragment and confidence for every extracted field. It should not invent an unreadable character or convert uncertainty into a positive match.

Checks that still need a person

A reviewer must confirm that the registry source actually describes the licence holder, interpret unclear Chinese status language and assess whether the business scope reasonably covers the product.

Visible seals can be compared for inconsistency, but a remote document review should not claim to authenticate a company chop. Suspicious presentation is a reason for more evidence, not a standalone fraud finding.

Common licence-related stop points

Hold the transaction when the licence is cropped, unreadable, expired-looking, missing the Chinese name, or paired with a USCC that cannot be reconciled. Escalate a reliable conflict where the identifier belongs to another entity or the current registry status is materially adverse.

Keep the licence with the final report and repeat the confirmation if a different contracting entity is introduced later.

What buyers ask before payment

Can a photo of the licence be checked?

Yes if it is complete and readable, but an original PDF or high-resolution image is preferable. Cropped or blurred fields should remain unresolved.

Can a business licence prove factory capacity?

No. It records company information; production capacity and product quality require separate evidence or on-site inspection.

Can software authenticate the company seal?

No. It can flag visible inconsistencies, but remote image review is not official seal authentication.
